Do I get to select my booth space?
Rutherford & Associates will reach out in groups within the next few weeks to help you select your booth space. If you have not heard from Rutherford & Associates by February, please reach out to national_partnerships@nsbe.org so we can reach out on your behalf.

Do I need to register staff who are just there to build the booth space?
Nope! Any team that is there just to build your booth space and leave will just need to check in to exhibitor registration onsite and will receive a wrist band to be let into the Career Fair floor during Career Fair set up times.
How do I register my staff?
Exhibitors should not register through the convention website!
The conference planning contact for your organization will receive an email from nsbe@mcievents.com with a unique link, a username, and a password, with instructions on how to register your complimentary staff as well as pay for additional registrations.

All registrations for exhibitors give full access to the entire convention. NSBE does NOT sell one-day, or career fair only passes. Each registrant is able to take advantage of the full agenda of events open to attendees.
How do I secure hotels for my staff?
NSBE has secured rooming blocks at the hotels surrounding the Kansas City Convention Center. These room blocks are for exhibitors and those attending the convention. Should you wish to secure housing through the NSBE block, please reference the website and contact information below:

Housing Deadlines:
- February 8, 2023: Deadline to submit sub-block requests with individual guest names and credit card information to NSBE.
- February 15, 2023 – March 3, 2023: Any reservations cancelled during this time will be subject to a $75 cancellation fee.
- March 4, 2023 – March 16, 2023: Any reservations cancelled during this time will be subject to a $125 cancellation fee.
- After March 16, 2023: Any reservations cancelled during this time will be subject to a $150 cancellation fee.
- After March 13, 2023: Reservations must be made directly with the hotel. There is no guarantee the hotel will still offer the conference rate.
How do I pay my invoice?
Invoices are emailed to your billing contact with information on how to submit payment. For questions about your invoice or submitting payment, please reach out to accounting@nsbe.org.
Payment is due 30 days after receipt of your invoice. All payments must be received no later than March 1, 2023. Invoices that remain unpaid after March 1. 2023 will be subject to having their associated sponsorship forfeited. ANY outstanding invoice(s) with NSBE after this date will prohibit entrance to the career fair and/or college fair/graduate school floor(s).
Additional items purchased after March 1, 2023, will require a credit card payment only: no other form of payment will be honored after this date (with the exception of forms mailed in along with a check with prior approval). There will be no invoicing after March 1. 2023.
- A 10% late fee will be assessed to all payments made after March 1. 2023.
- A 25% cancellation fee for any sponsorship cancellations after January 3, 2023. This includes paid and unpaid invoices.
- There will be no refunds after January 31, 2023.
- Certain sponsored events/items will require advance payment prior to January 3, 2023.

Career Fair Hours
Thursday, March 23
- 10:00 – 11:00 am CST *Apex Hours
- 11:00 am – 3:00 pm CST
Friday, March 24
- 10:00 – 11:00 am CST *Apex Hours
- 11:00 am – 4:00** pm CST
*Apex: Members with a GPA of 3.0 and up receive priority access to the Career Fair floor for the first hour of the Career Fair. At 11:00 am CST, all other attendees join.
**The last hour of the Career Fair, we will allow entrance for NSBE Jr. (Grade school through high school) attendees.
Exhibitor Services Onsite: The Freeman Exhibitor Services team will be available from 8 am – 5 pm from the first day of Exhibitor Move-in to the last day of Exhibitor Move-out. Hours may be extended the day before the show opens and the day of to assist with additional exhibitor needs.
What is NSBE’s COVID-19 Policy?
The National Society of Black Engineers (NSBE) is committed to the health and safety of meeting and event attendees. NSBE leadership will continue to monitor the situation and provide guidance as more information on the extent and severity of the outbreak becomes available. NSBE will adjust its approach as needed to ensure a coordinated effort and a safe experience for conference attendees.
It is recommended that all attendees must be fully vaccinated in accordance with the CDC guidelines. Boosters are strongly recommended but are not required. Facial coverings are strongly recommended to be worn throughout #NSBE49. In the event an attendee tests positive post event, we strongly recommend alerting NSBE’s Human Resources Department to make other attendees aware that may have come in close contact. In the event any attendee tests positive for COVID-19, the CDC does currently mandate a required five (5) day quarantine period.
